Each Assessment Advisory Team is asked to assist the applicable Administrative Services unit(s) in the assessment of their current operations and the identification of processes or policies which might be barriers to efficient university operations. The purpose of this process is to improve unit performance and processes and improve services to the campus community. Emphasis will not necessarily be on speed but on completeness.
Unit Expectations:
Unit heads will convene and conduct team meetings and be responsible for all organizational requirements of the review process
Unit heads, as team leaders, are expected to insure all aspects of unit operations are addressed by the team and that data sufficient to respond to all applicable AQIP questions are gathered.
Unit heads are to insure that all issues/barriers raised by the team are properly addressed. For each issue/barrier this will include documenting:
- A description of the issue and necessary supporting information
- The impact of this barrier on university operations
- The business/regulatory purpose for this process
- Any constraining issues or factors affecting the potential modification of this process
- Alternative processes or more efficient means of addressing any necessary business/regulatory purposes
- The status or resolution of this matter
- Review of expected/actual results from making this change
Unit heads will maintain and distribute a matrix containing all issue data as outlined above.
Participant Expectations:
Participants will be expected to give detail feedback to the team on their results or impressions from prior interactions with the unit. This feedback should address both strengths and weaknesses and good and bad experiences.
Participants will be asked to identify processes or policies (issues) that result in barriers to efficient university operation. Participants will be given great latitude in determining what they consider to be an issue. Information regarding each issue should be sufficiently detailed as to allow clear of what is to be addressed.
To the extent possible each participant is expected to attend all the monthly meetings (estimated be to about 90 minutes in duration) and remain active on the team until the exercise is completed.
Team Process:
Team will establish a regular day and time to meet each month and will adhere to that schedule so long as there are issues to discuss.
A means for distributing information between meetings will be established.
Non-participants are free to submit issues to the team so long as they contain sufficient detailed information to clearly identify the issue that is being raised. This information can be submitted through a team member, to one of the Administrative Services leadership team working with the team or to the Vice Chancellor. This issue will be presented to the team at the next meeting and a decision to address that issue will be made by the team.
No issue will be addressed or resolved at the meeting in which it is initially raised. Time will be allowed for the issue to be researched and applicable data/information presented.
Participants should not address in team meetings the behaviors of specific individuals but instead these matters should be addressed privately with the employee's supervisors. Issues should relate to unit policies, processes or other activities.
